Uploading multiple users into OrgPlus

If you have multiple users you need to add to OrgPlus, you can do so by creating and uploading a user file. Acceptable file formats include Microsoft Excel or a delimited text file.

Creating a User Data Source

The following sections describe how to create, import, and select the desired user data source file.  Once setup is complete, you will be able to sign in using the user names and passwords specified in the user data source file.

To create a User Data Source:

1.      Create a spreadsheet or text file containing the following columns for each user.  For text files, each ‘column’ is separated by a specific delimiter.

Note: These columns must appear in the order specified below. Columns marked “required” must contain data to function correctly. Columns marked “optional” must appear in the spreadsheet as well, but can be left blank.

Sample Table

•        User name (required): The user name is typically the user’s e-mail address, and must be unique to the user.

•        First Name (required): User’s first name.

•        Last Name (required): User’s last name.

•        Description (optional): Description of the user or the user’s status.

•        Password (required): Specifies the password associated with a given user name.  Note that if you have purchased the Single Sign On (SSO) option, this field is ignored.

•        Force Reset (optional): Enter TRUE in this column to require the user to reset their password on the next login; Enter FALSE or leave blank to disable this requirement.  Note that if you have purchased the Single Sign On (SSO) option, this field is ignored.

•        Role ID (optional, but recommended): Specifies the role ID associated with a user name. The Role ID identifies the security role associated with a user name. Note that if a Role ID exists in multiple domains, then the user will be added with that role for each domain.

•        Status (required): Enter ACTIVE in this column to indicate an active user. Active users can sign in to the application if all of the subscriptions have not been used.  Enter INACTIVE or leave the cell blank to add this user’s account as an inactive account.  Enter DELETE in this column to delete a previously imported user.

•        Chart User ID (optional): Specifies the value that can be used to map a user to a box within a chart. Mapping a user to a box allows OrgPlus RealTime to enforce structural security. This column is required only if you are using a field for the Chart User ID.

2.      Save the file.  If you are using Excel, you can save as .xls, .xlsx, or .csv type of file.  If you are using a text delimited file, use a .txt extension.

Importing and Refreshing from a User Data Source

To import a User Data Source:

1.      On the Users Page, click the Import/Export button, then Upload Users.

2.      Select the appropriate File Type.

3.      (Optional)If the file is a text delimited file, select the appropriate Encoding and Separator values from the drop-down lists.

4.      Click Browse to browse to and select the file.

5.      Click Save. The system will process the user file and update the users page when it completes.  If an error occurs, you can view it in the Logs in Administration.
