See the sections below for more information.<\/li>\n\n\n\n<li>Click\u00a0<strong>Save\u00a0Role<\/strong>. The\u00a0role\u00a0is added to the\u00a0roles list.<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Employee Access<\/h3>\n\n\n\n<p>Employee Access refers to the employee records (boxes) that a specific&nbsp;role&nbsp;can access in the chart. You can limit access to a range of the org chart and\/or select a filter to determine access. You can also specify the box that is first visible for the&nbsp;role&nbsp;when the user signs in.<\/p>\n\n\n\n<p>To configure Employee Access:<\/p>\n\n\n\n<p>1.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the&nbsp;Roles Editor, click the&nbsp;<strong>Employee Access<\/strong>&nbsp;header.<\/p>\n\n\n\n<p>2.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the &#8220;Chart Range&#8221; section, select the range for the&nbsp;role:<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Top of Chart<\/strong>: The top-most box in the hierarchy defines the top box (think CEO). The&nbsp;role&nbsp;can access all boxes on the chart.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Myself<\/strong>: The&nbsp;role&nbsp;can access its own box, and all subordinate boxes in its branch.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Level<\/strong>&nbsp;<strong><em>N<\/em><\/strong>&nbsp;<strong>Supervisor<\/strong>: Specifies how many levels above the&nbsp;role&#8217;s own level are accessible. For instance, selecting level 1 from the drop-down menu gives the&nbsp;role&nbsp;access to boxes from one level above itself down to the bottom of the branch; selecting level 2 gives the&nbsp;role&nbsp;access to two levels above itself down to the bottom of the branch; and so on. &nbsp;This is especially useful for an Administrative assistant-type&nbsp;role.<\/p>\n\n\n\n<p>3.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the &#8220;Starting Point&#8221; section, select the displayed top box for the&nbsp;role:<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Top of Chart<\/strong>: The starting point is the top-most box in the hierarchy.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Myself<\/strong>: The current user&#8217;s box is the&nbsp;role&#8217;s starting point.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Level<\/strong>&nbsp;<strong><em>N<\/em><\/strong>&nbsp;<strong>Supervisor<\/strong>: Specifies how many levels above the current user&#8217;s position is the&nbsp;role&#8217;s starting point. For more information, see&nbsp;<a href=\"https:\/\/help.insperity.com\/bps\/knowledge-base\/creating-filters-for-your-chart\/\" data-type=\"ht_kb\" data-id=\"986\" target=\"_blank\" rel=\"noreferrer noopener\">Creating a Filter<\/a>. &nbsp;<\/p>\n\n\n\n<p>5.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the&nbsp;<strong>Precedence<\/strong>&nbsp;drop-down menu to select how the&nbsp;role&nbsp;is applied:<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Range or Filter<\/strong>&nbsp;applies the&nbsp;role&nbsp;if the user is viewing a part of the chart included in either the range or the filter.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Range and Filter<\/strong>&nbsp;applies the&nbsp;role&nbsp;if the user is viewing a part of the chart included in both the range and the filter.<\/p>\n\n\n\n<p>6.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Click&nbsp;<strong>Save&nbsp;Role<\/strong>&nbsp;to save the&nbsp;role&nbsp;and close the&nbsp;Role&nbsp;Editor, or select another header to continue configuring the&nbsp;role.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Planning Access<\/h3>\n\n\n\n<p>Planning access describes the employee records (boxes) that a specific&nbsp;role&nbsp;can edit in a&nbsp;<a href=\"https:\/\/help.insperity.com\/bps\/knowledge-base\/planning-overview\/\" target=\"_blank\" rel=\"noreferrer noopener\">plan<\/a>. As with employee access, you can limit editing access to a range of the org chart, and apply filters to access as well.<\/p>\n\n\n\n<p>To configure planning record access:<\/p>\n\n\n\n<p>1.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the&nbsp;Roles Editor, click the&nbsp;<strong>Planning Access<\/strong>&nbsp;header.<\/p>\n\n\n\n<p>2.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the Chart Range section, select the range for the&nbsp;role:<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Top of Chart:<\/strong>&nbsp;&nbsp;This allows a user to edit all boxes in the chart.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Myself<\/strong>: This&nbsp;role&nbsp;allows a user to edit their own box and all subordinate boxes in the same branch.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Level<\/strong>&nbsp;<strong><em>N<\/em><\/strong>&nbsp;<strong>Supervisor<\/strong>: Specifies how many levels above the&nbsp;role&#8217;s own level are accessible. A field policy includes one or more fields and is attached to a&nbsp;role. When that&nbsp;role&nbsp;is attached to a user, the user can only interact with the specified fields according to the rules of the policy.<\/p>\n\n\n\n<p>To configure a field policy:<\/p>\n\n\n\n<p>1.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the&nbsp;Roles Editor, click the&nbsp;<strong>Data Access<\/strong>&nbsp;header.<\/p>\n\n\n\n<p>2.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;To create a new policy, click&nbsp;<strong>Add Policy<\/strong>; to edit an existing policy, click the policy from the list.<\/p>\n\n\n\n<p>3.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Enter a name for the policy in the&nbsp;<strong>Policy Name<\/strong>&nbsp;text box. Be descriptive if possible.<\/p>\n\n\n\n<p>4.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the&nbsp;<strong>Fields<\/strong>&nbsp;drop-down menu to select fields to include in the policy. You can enter multiple fields to the policy, one at a time. &nbsp;You can also use the&nbsp;<strong>Add All<\/strong>&nbsp;and&nbsp;<strong>Remove All<\/strong>&nbsp;buttons to quickly change the entries.<\/p>\n\n\n\n<p>5.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the&nbsp;<strong>Range<\/strong>&nbsp;drop-down menu to select the structural security rules:<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Entire Chart<\/strong>: Displays the policy\u2019s fields in all boxes.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Mgr + Mgr Subordinates<\/strong>: Determines the box corresponding to the current user\u2019s manager and then displays the field in the manager\u2019s box and boxes subordinate to the manager.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Mgr Subordinates<\/strong>: Determines the box corresponding to the current user\u2019s manager and then displays the field in the boxes subordinate to the manager.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Self + Subordinates<\/strong>: Determines the box corresponding to the current user and then displays the field in that user\u2019s box and all subordinate boxes.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Subordinates<\/strong>: Determines the box corresponding to the current user and then displays the field in only subordinate boxes.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Self<\/strong>: Displays the policy&#8217;s fields in the box corresponding to the current user.<\/p>\n\n\n\n<p>6.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the&nbsp;<strong>Filter<\/strong>&nbsp;drop-down menu to select a filter to apply to the fields in the policy. For more information, see&nbsp;<a href=\"https:\/\/help.insperity.com\/bps\/knowledge-base\/creating-filters-for-your-chart\/\" data-type=\"ht_kb\" data-id=\"986\">Creating a Filter<\/a>.<\/p>\n\n\n\n<p>7.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the&nbsp;<strong>Range + Filter<\/strong>&nbsp;buttons to to select how the policy is applied:<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>Or<\/strong>&nbsp;applies the policy if the user is viewing a part of the chart included in either the range or the filter.<\/p>\n\n\n\n<p>\u2022&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<strong>And<\/strong>&nbsp;applies the policy if the user is viewing a part of the chart included in both the range and the filter.<\/p>\n\n\n\n<p>9.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Click&nbsp;<strong>Save<\/strong>&nbsp;when you are finished configuring the policy.<\/p>\n\n\n\n<p>In addition to creating and editing policies, you can delete existing Field Policies by clicking the delete icon in the list.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Feature Access<\/h3>\n\n\n\n<p>You can control which features a user can interact with by limiting which&nbsp;roles can access a given feature. &nbsp;See the&nbsp;<a href=\"https:\/\/service.insperity.com\/bps\/help\/orgplus\/OPRTAH\/Security_Management\/Roles.htm#Feature_Definitions\">Feature Definitions<\/a>&nbsp;for a brief description of each.<\/p>\n\n\n\n<p>For example, you may want only employees in the HR department to have the ability to print a chart. In this case, you would restrict the printing feature to users in an HR&nbsp;role.<\/p>\n\n\n\n<p>To establish what features a&nbsp;role&nbsp;can access:<\/p>\n\n\n\n<p>1.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the&nbsp;Roles Editor, click the&nbsp;<strong>Features<\/strong>&nbsp;tab.<\/p>\n\n\n\n<p>2.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the checkboxes to select features that are accessible to the&nbsp;role. Clicking the parent feature (<strong>Administration<\/strong>&nbsp;or&nbsp;<strong>Save As<\/strong>) &nbsp;selects the individual features beneath it.<\/p>\n\n\n\n<p>3.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Click&nbsp;<strong>Save&nbsp;Role<\/strong>&nbsp;to save the&nbsp;role&nbsp;and close the&nbsp;Role&nbsp;Editor, or select another header to continue configuring the&nbsp;role.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Assign Views<\/h3>\n\n\n\n<p>You can control which views a user can see in the workspace by including the Views in your&nbsp;role. For example, you may want only employees in the HR department to see the view that contains HR-specific fields.<\/p>\n\n\n\n<p>To establish what Views a&nbsp;role&nbsp;can access:<\/p>\n\n\n\n<p>1.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;In the&nbsp;Roles Editor, click the&nbsp;<strong>Views<\/strong>&nbsp;header.<\/p>\n\n\n\n<p>2.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Use the&nbsp;<strong>Views<\/strong>&nbsp;drop-down menu to select Views to include in the&nbsp;role. You can enter multiple views to the&nbsp;role&nbsp;one at a time, or you can use the&nbsp;<strong>Add All<\/strong>&nbsp;and&nbsp;<strong>Remove All<\/strong>&nbsp;buttons to quickly change the entries.<\/p>\n\n\n\n<p>3.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Click&nbsp;<strong>Save&nbsp;Role<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Feature Definitions<\/h3>\n\n\n\n<p>Each Feature in an OrgPlus RealTime&nbsp;role&nbsp;allows the user assigned that&nbsp;role&nbsp;to access specific areas of the application.<\/p>\n\n\n\n<p><strong>Administration<\/strong>. &nbsp;This main feature allows the user to access the Administration section of the application, including the Logs. &nbsp;If this is checked, all of the subordinate options are also checked, but each can be granted or removed individually.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Organization Management &#8211; this feature allows users to upload new data source files; add\/edit fields; change organization names; edit logos, default fields, and quick search fields; and upload images<\/li>\n\n\n\n<li>Views &#8211; this feature allows users to access and add\/edit Views and Profiles<\/li>\n\n\n\n<li>Roles &#8211; this feature allows users to add\/edit\u00a0Roles<\/li>\n\n\n\n<li>Filters &#8211; this feature allows users to add\/edit Filters<\/li>\n<\/ul>\n\n\n\n<p><strong>Sharing<\/strong>. &nbsp;This main feature allows the user to access the Sharing menu in the main chart of a Workforce Plan. &nbsp;If this is checked, all of the subordinate options are also checked, but each can be granted or removed individually.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>PDF &#8211; This feature allows users to share (publish) charts and\/or plans in a PDF format<\/li>\n\n\n\n<li>PowerPoint\u00a0&#8211; This feature allows users to share (publish) charts and\/or plans in a PowerPoint format<\/li>\n\n\n\n<li>Excel\u00a0&#8211; This feature allows users to share (publish) charts and\/or plans in an Excel format<\/li>\n\n\n\n<li>HTML\u00a0&#8211; This feature allows users to share (publish) charts and\/or plans in a zip file for sharing on a LAN or SharePoint site<\/li>\n<\/ul>\n\n\n\n<p><strong>Add\/Edit Chart Text Box<\/strong>:  This feature allows the user to add text boxes to the chart. <\/p>\n\n\n\n<p><strong>Workforce Planning<\/strong>.
