{"id":16,"date":"2021-01-04T22:17:43","date_gmt":"2021-01-04T22:17:43","guid":{"rendered":"https:\/\/help.insperity.com\/bps\/?post_type=ht_kb&#038;p=16"},"modified":"2021-03-11T00:36:54","modified_gmt":"2021-03-11T00:36:54","slug":"adding-photos-to-your-org-chart","status":"publish","type":"ht_kb","link":"https:\/\/help.insperity.com\/bps\/knowledge-base\/adding-photos-to-your-org-chart\/","title":{"rendered":"Adding photos to your organizational chart"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Photos Overview<\/h2>\n\n\n\n<p>Insperity Organizational Planning can display&nbsp;photos of employees in the chart boxes and in the profile card so that employees can &#8216;put a face with a name&#8217;.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"has-inline-color has-blue-color\">Accepted image formats<\/span><\/h2>\n\n\n\n<ul class=\"wp-block-list\"><li>Images should be limited to specific file types &#8211; .jpg (.jpeg), .png, and .bmp.<\/li><li>Images should have an orientation of Portrait (taller than it is wide). &nbsp;Images that are square, round, or landscape (wider than it is tall) may be skewed or truncated by the application in a negative way.<\/li><li>Image files should be limited in size to less than 1MB.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Preparing your data<\/h2>\n\n\n\n<p>Your data source will need to store information about the photo in order to match the employee with the proper folder.&nbsp; You will need to add a column to your data that will include the name of the photo.&nbsp; The photo assigned in the photo location needs to match what is on your data sheet.&nbsp;File extensions must be included in photo name.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-11.png\" alt=\"\" class=\"wp-image-304\"\/><\/figure>\n\n\n\n<p>Photo information can be uploaded as a supplemental file instead of using the primary data source.&nbsp; When creating the supplemental file, it is necessary to include the employee&#8217;s unique Identifier on the file (Employee ID, for example).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Uploading your data<\/h2>\n\n\n\n<p>The next step is to update the data in your charts with this new field and information.&nbsp; To update data, go to <strong>Administration<\/strong> &gt; <strong>Data<\/strong> and <strong>Browse<\/strong> to find your updated data source.&nbsp;&nbsp; If you are using a supplemental file for your photo data, click on <strong>Add Supplemental File.&nbsp;<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-12.png\" alt=\"\" class=\"wp-image-305\"\/><\/figure>\n\n\n\n<p>Click <strong>Save<\/strong> and your updated data will load.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Mapping your photo field<\/h2>\n\n\n\n<p>The system will have added the new field to your data fields.&nbsp; The next step is to map the photo field to a special function field that will display your data as an image.&nbsp;&nbsp; Go to <strong>Administration<\/strong> &gt; <strong>Fields<\/strong> &gt; <strong>Hierarchy &amp; Special Function Fields<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-13.png\" alt=\"\" class=\"wp-image-306\"\/><\/figure>\n\n\n\n<p><strong>Employee Photo<\/strong> is an option at the bottom of the mapping screen.&nbsp; Select the field name being used in your data that represents the photo information for the employees.<\/p>\n\n\n\n<p>Press <strong>OK<\/strong> when complete.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-14.png\" alt=\"\" class=\"wp-image-307\"\/><\/figure>\n\n\n\n<p>Then <strong>Save<\/strong> on the main fields screen to save your mapping.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Uploading photos<\/h2>\n\n\n\n<p>To upload the photos to your organizational chart, go to <strong>Administration<\/strong> then the <strong>photo icon<\/strong> on the top right menu bar.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-15.png\" alt=\"\" class=\"wp-image-308\"\/><\/figure>\n\n\n\n<p>Click <strong>Browse<\/strong> to find your photos you would like to upload.&nbsp;&nbsp; Here you can multi-select photos or an individual photo if adding photos for new employees.&nbsp;&nbsp; Click <strong>Save<\/strong> when complete.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Adding photos to your chart<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Adding the field to the box type<\/h3>\n\n\n\n<p>To add the photos to your chart view, go to <strong>Administration<\/strong>, then <strong>Views<\/strong>.&nbsp;&nbsp; Choose the view you would like to update by selecting the <strong>edit icon<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-16.png\" alt=\"\" class=\"wp-image-310\"\/><\/figure>\n\n\n\n<p>Under the view dashboard, click <strong>Edit<\/strong> in the <strong>Box Types<\/strong> area then hover over the box type you would like to modify.&nbsp;&nbsp; You will see <strong>Edit<\/strong> as an action when hovering.&nbsp; Select <strong>Edit<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-17.png\" alt=\"\" class=\"wp-image-311\"\/><\/figure>\n\n\n\n<p>Next, click <strong>Add Data<\/strong> under Field Properties and select <strong>Field<\/strong>.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-18.png\" alt=\"\" class=\"wp-image-312\"\/><\/figure>\n\n\n\n<p>Select your new photo field from the fields list and click <strong>Add<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-19.png\" alt=\"\" class=\"wp-image-313\"\/><\/figure>\n\n\n\n<p>&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Adjusting the alignment<\/h3>\n\n\n\n<p>Check the photo field to display photo properties to the right.&nbsp; You can choose to hide the label from displaying and choose the alignment of the photo within the box.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-20.png\" alt=\"\" class=\"wp-image-314\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Copying photos to other box types<\/h3>\n\n\n\n<p>Once you have the alignment set on the first box type, you can quickly copy the addition of the field to the other boxes in your view.&nbsp;<\/p>\n\n\n\n<p>Under <strong>Views<\/strong> &gt; (<em>Edit<\/em>) &gt; <strong>Box Types<\/strong> &gt; <em>modified box<\/em> &gt; <strong>Field Properties<\/strong> you will see the <strong>Copy Data<\/strong> button.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-21.png\" alt=\"\" class=\"wp-image-315\"\/><\/figure>\n\n\n\n<p>In the <strong>Copy Data<\/strong> window, select your photo field under <strong>Copy these fields<\/strong> to the left and select the box types under <strong>To these box types<\/strong> to the right.&nbsp;&nbsp;&nbsp; Click <strong>Copy<\/strong> when compete.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-22.png\" alt=\"\" class=\"wp-image-316\"\/><\/figure>\n\n\n\n<p>The field will now display on the selected box types.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Adjusting the orientation of the photo display<\/h3>\n\n\n\n<p>To change the orientation of the photo so it displays on the box to the left, under <strong>Views<\/strong>, <strong>Styles<\/strong> select <strong>Image on Left<\/strong> under <strong>Box Layout<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"http:\/\/help.insperity.com\/wp-content\/uploads\/2020\/12\/image-23.png\" alt=\"\" class=\"wp-image-317\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Troubleshooting<\/h2>\n\n\n\n<p>If your photos do not display immediately, re-update your data after adding the images to the system.&nbsp;<\/p>\n\n\n\n<p>If some photos are missing, make sure the name in the file matches exactly with the name of the image, including the extension, that has been uploaded into the system.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Photos Overview Insperity Organizational Planning can display&nbsp;photos of employees in the chart boxes and in the profile card so that employees can &#8216;put a face with a name&#8217;.
