Schedules are not only used for planning purposes, but also must be used if a company wishes to track when an employee is absent, working on a non-scheduled day, and\/or early and\/or late at the start or end of the work day. Access to each page is dependent on company set up and individual security.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Schedule Group<\/h2>\n\n\n\n<p>A Schedule Group is used for setting up recurring schedules. Upon selection, schedule rules will be displayed for review\/edit\/deletion.<\/li><li><strong>Hide Inactive\/Show Inactive <\/strong>\u2013 Hides or displays schedules from the list that have been marked as inactive<\/li><\/ul><\/li><li>Schedule Group Information \u2013 Includes the Schedule Group\u2019s Name, Description, and Active indicator<ul><li>When <strong>Active<\/strong> is set to \u201cNo\u201d, the inactive groups will disappear from the available options when assigning Schedule Groups to employees<\/li><\/ul><\/li><li>Schedule Group Rules \u2013 Lists the rules attached to the selected schedule<ul><li><strong>Schedule Rule <\/strong>\u2013 Name of the schedule rule<\/li><li><strong>Schedule Type <\/strong>\u2013 Type of schedule attached to the rule<\/li><li><strong>Effective Date <\/strong>\u2013 Date that the rule is effective<\/li><li><strong>Stop Date<\/strong> \u2013 Date that the rule becomes inactive<\/li><li><em>Unnamed Column<\/em><ul><li><strong>&nbsp;Audit Log <\/strong>\u2013 View details of the audit log associated with the rule<\/li><li><strong>Delete <\/strong>&#8211; Delete the rule<\/li><\/ul><\/li><\/ul><\/li><\/ol>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Schedule Group Rule definitions<\/h2>\n\n\n\n<p>Below is a list of the fields that will be seen within the Rule Detail pop-up window when editing or adding a rule.<\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li><strong>Name<\/strong> \u2013 Name of the rule. Should be detailed enough to highlight what the rule will do (ex. \u201cMo \u2013 Fr 8a-5p\u201d).<\/li><li><strong>Description <\/strong>\u2013 Description of the rule. This field often is a repeat of the information contained in the <strong>Name<\/strong> field.<\/li><li><strong>Schedule Type <\/strong>\u2013 Type of schedule<\/li><li><strong>Schedule Active <\/strong>\u2013 Should be set to \u201cYes\u201d unless marking the schedule inactive<\/li><li><strong>Effective Date <\/strong>\u2013 Date that the schedule rule becomes active. When creating a rotating schedule, this field must contain the date that begins within the week that the schedule rule applies.<\/li><li><strong>Stop Date<\/strong> \u2013 Date that the rule becomes inactive. Can be left blank if no end date exists.<\/li><li><strong>In\/Out Times<\/strong><ul><li><strong>In Time \u2013 <\/strong>Time that the schedule begins on the days of the week within the rule<\/li><li><strong>Out Time \u2013<\/strong> Time that the schedule ends on the days of the week within the rule<\/li><li><em>Unnamed drop down \u2013 <\/em>Determines if the schedule spans more than one day<\/li><\/ul><\/li><li><strong>Unpaid Minutes \u2013 <\/strong>Total time not worked during the work day (ex. lunch). This field assists with estimating worked hours but does not deduct from actual hours worked unless paying off of schedules.<\/li><li><strong>Lunch Start Time \u2013 <\/strong>Lunch start time. This field is used within actual vs. worked hours reporting<\/li><li><strong>Total Shift Calculation \u2013 <\/strong>Automatic calculation of hours per day<\/li><li><strong>Shift Type \u2013 <\/strong>Shift to apply to the time when paying off of schedules<\/li><li><strong>Pay Type \u2013 <\/strong>Pay type to apply to the time to when paying off of schedules<\/li><li><strong>Occurs Every \u2013 <\/strong>Determines how often the schedule occurs\/reoccurs<ol><li>Drop down \u2013 After how many weeks the schedule occurs\/reoccurs. For example, if the schedule occurs every other week, this drop down should be set to \u201c2.\u201d<\/li><\/ol><ol><li>Checkboxes \u2013 Day(s) of the week that this schedule occurs<\/li><\/ol><\/li><li><strong>Work week starts on \u2013 <\/strong>Start day of the work week<\/li><li><strong>Specify Org Levels \u2013 <\/strong>Allows specific org levels to be assigned to the time when paying off of schedules. If \u201cYes\u201d, additional Org Level Item drop downs will appear below for selection.&nbsp;&nbsp; <strong>&nbsp;<\/strong><\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Creating a Schedule Group<\/h2>\n\n\n\n<p>To create a Schedule Group, follow the below steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li>Click the <strong>Add <\/strong>button, located at the bottom of the page.<\/li><li>Enter in a <strong>Group Name<\/strong> and a <strong>Description<\/strong> that describe what the schedule will do. For example, \u201cMo \u2013 Fr 8a-5p\u201d. Keep the <strong>Active<\/strong> drop down set to \u201cYes\u201d.<\/li><\/ol>\n\n\n\n<p><em>The information will save and the original Schedule Group page will reappear, with the newly created schedule selected.<\/em><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Click the <strong>New Rule <\/strong>button, located at the bottom of the page<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Create the rule(s) to attach to the Schedule Group. Each rule should be determined by the day of the week. For example, if on Monday through Friday hours are 8a-5p, but Saturday is 8a-12p, two rules must be created; one for Mo-Fr 8a-5p, and one for Sa 8a-12p<\/li><li>Click <strong>Save<\/strong>.<\/li><li>Repeat steps 3-5 as needed for any additional rules to complete the Schedule Group.<\/li><\/ul>\n\n\n\n<p><em>Once the Schedule Group is created, it will need to be assigned to the employee(s). Steps for this process are contained in the section titled \u201c<\/em><a href=\"https:\/\/help.insperity.com\/bps\/knowledge-base\/schedules-schedule-group\/#assigning-a-schedule-group-to-an-employee\"><em>Assigning a Schedule Group to an Employee<\/em><\/a><em>.\u201d<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Editing a Schedule Group Page<\/h2>\n\n\n\n<p>To edit a Schedule Group, follow the below steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li>Select the Schedule Group from the <strong>Select a Schedule Group<\/strong> drop down.<\/li><li>Click on the line of the rule that needs to be edited.<\/li><li>Edit the rule as needed. <\/li><li>Click <strong>Save<\/strong>.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Deleting a Schedule Group<\/h2>\n\n\n\n<p>To delete a Schedule Group, follow the below steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li>Select the Schedule Group from the <strong>Select a Schedule Group<\/strong> drop down.<\/li><li>Click on the <strong>Delete<\/strong> button, located at the bottom of the page.<\/li><li>Click <strong>OK<\/strong>.<\/li><\/ol>\n\n\n\n<p><em>An individual Schedule Group Rule can be deleted, as well using the trash can button on the right of the rule line.<\/em><\/p>\n\n\n\n<p><em>A Schedule Group can also be inactivated so it is no longer available for selection when assigning to employees but remains available for future reactivation. To do so, set the <strong>Active<\/strong> drop down at the top of the Schedule Group page to \u201cNo\u201d.&nbsp;<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Assigning a Schedule Group to an employee<\/h2>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li>In the <strong>Main Navigation <\/strong>menu, open the <strong>Employee Maintenance<\/strong> folder.<\/li><li>Open the <strong>Employee Assignments <\/strong>subfolder.<\/li><li>Click on the <strong>Groups<\/strong> page.  <\/li><li>Move to the <strong>Schedule Group<\/strong> tab located at the top of the <strong>Groups<\/strong> page.<\/li><li>Click <strong>Add New<\/strong>.<\/li><li>Select the Schedule Group to apply from the <strong>Schedule Group<\/strong> drop down.<\/li><li>Select the date that the Schedule Group will become effective in the <strong>Effective Date<\/strong> field.<\/li><li>Click <strong>Save.<\/strong><\/li><\/ol>\n\n\n\n<p><em>If the Schedule Group becomes effective in a future pay period, the <strong>Schedule Group<\/strong> field will remain with a status of \u201cNot Assigned,\u201d until the pay period is moved forward.<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Schedule deviations<\/h2>\n\n\n\n<p>Time and Attendance allows schedule deviations to be made on an individual or group basis to any employee schedule on any day in the past or future.
