{"id":4258,"date":"2026-01-22T17:02:43","date_gmt":"2026-01-22T17:02:43","guid":{"rendered":"https:\/\/help.insperity.com\/bps\/?post_type=ht_kb&#038;p=4258"},"modified":"2026-01-27T18:02:31","modified_gmt":"2026-01-27T18:02:31","slug":"pay-period-structure-changes","status":"publish","type":"ht_kb","link":"https:\/\/help.insperity.com\/bps\/knowledge-base\/pay-period-structure-changes\/","title":{"rendered":"Pay Period Structure Changes"},"content":{"rendered":"\n<h3 class=\"wp-block-heading\">Changing accrual plans when an employee is changing pay period structures<\/h3>\n\n\n\n<p><strong>Process to prevent accrual balance issues:<br><\/strong>Follow the steps below when changing an employee from one Pay Period structure to another (e.g., Salary to Hourly\/Hourly to Salary).<\/p>\n\n\n\n<p>When making this change, the system administrator will need to update the Accrual Group of the employee first and then update the Pay Group to ensure that there is a clean cutoff of the accruals. Once the new Pay Group has been assigned, the administrator will then assign the proper Accrual Group.<\/p>\n\n\n\n<p>Here are the steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to <strong>Employee Maintenance &gt; Employee Assignments &gt; Groups Tab &gt; Accrual Group<\/strong>. Change employee Accrual Group to &#8220;No Accruals&#8221; and click <strong>SAVE<\/strong> (this stops the accruals from calculating).<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"763\" height=\"357\" src=\"https:\/\/help.insperity.com\/bps\/wp-content\/uploads\/sites\/3\/2026\/01\/Pay_Period_Structure_Changes_EEs1.png\" alt=\"\" class=\"wp-image-4261\" \/><\/figure>\n\n\n\n<ol start=\"2\" class=\"wp-block-list\">\n<li>Change employee Pay Group to &#8220;Salary Exempt&#8221; or &#8220;Hourly&#8221; (whichever is applicable). Reminder: The Effective Date is always the first day of a pay period. Click <strong>SAVE<\/strong>.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"671\" height=\"314\" src=\"https:\/\/help.insperity.com\/bps\/wp-content\/uploads\/sites\/3\/2026\/01\/Pay_Period_Structure_Changes_EEs2.png\" alt=\"\" class=\"wp-image-4259\" \/><\/figure>\n\n\n\n<ol start=\"3\" class=\"wp-block-list\">\n<li>Go back to the Accrual Group Assignment tab. Change employee Accrual Group to the <strong>new <\/strong>Accrual Group. Accruals will start calculating in that pay period.
