Access to these fields is dependent on company setup and individual security.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Display<\/strong> \u2013 Changes the display of the hours. Select from the following options:\n<ul class=\"wp-block-list\">\n<li><strong>Daily Summary<\/strong> \u2013Hour totals by day separated by Pay Type and Shift<\/li>\n\n\n\n<li><strong>Detail View <\/strong>\u2013 Hour calculations for each day of the week<\/li>\n\n\n\n<li><strong>Combine by Pay Type<\/strong> \u2013 Combines hours by Pay Type<\/li>\n\n\n\n<li><strong>Weekly Summary \u2013<\/strong> Total hours by week<\/li>\n\n\n\n<li><strong>Weekly Summary by Pay Type<\/strong> \u2013 Hours by week, broken out by Pay Type<\/li>\n\n\n\n<li><strong>Daily by Org Level <\/strong>\u2013 Daily hours by Organization Level Item<\/li>\n\n\n\n<li><strong>Summary by Org Level <\/strong>\u2013 Total hours by Organization Level Item for the entire pay period<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Effective Date \u2013 <\/strong>Date that the hours are effective<\/li>\n\n\n\n<li><strong>Pay Type \u2013 <\/strong>Pay Type associated with the hours<\/li>\n\n\n\n<li><strong>Shift \u2013<\/strong> Shift code associated with the hours<\/li>\n\n\n\n<li><strong>Lunch \u2013<\/strong> Total lunch minutes recorded within a time block<\/li>\n\n\n\n<li><strong>Hours \u2013<\/strong> Number of hours<\/li>\n\n\n\n<li><strong>Start Time \u2013<\/strong> Start time of an hours block<\/li>\n\n\n\n<li><strong>Stop Time \u2013<\/strong> Stop time of an hours block<\/li>\n\n\n\n<li><strong>Source \u2013<\/strong> Source for the hours calculated. Will redirect the user to the punches or hours page.<\/li>\n\n\n\n<li><strong>Detail \u2013 <\/strong>Hour calculation detail for the selected line<\/li>\n\n\n\n<li><strong>Organization Level Items \u2013<\/strong> Vary based on company setup<\/li>\n\n\n\n<li><strong>Week \u2013<\/strong> Start and end date of the week<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Show Time as of Now Button<\/h2>\n\n\n\n<p>When clicked, the <strong>SHOW TIME AS OF NOW<\/strong> button will recalculate the hours to display up-to-the-minute totals. This is helpful if the employee is in the middle of a time block as it displays the totals as if the employee were to punch out at that moment.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"188\" height=\"38\" src=\"https:\/\/help.insperity.com\/bps\/wp-content\/uploads\/sites\/3\/2026\/01\/Total-Hours-Page-3.jpg\" alt=\"\" class=\"wp-image-4224\" \/><\/figure>\n\n\n\n<p>Once clicked, the button will update to <strong>Deactivate Time as of Now<\/strong>. If clicked, it will reset the display to show totals as of the last full-time block.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Approving time<\/h2>\n\n\n\n<p>An employee\u2019s timesheet can be approved from the Total Hours page. In general:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Timesheets should not be approved until all time has been entered for the pay period. When paying current, time may also need to be approved prior to exporting data for payroll.<\/li>\n\n\n\n<li>Timesheets can only be approved for the current pay period.<\/li>\n\n\n\n<li>Approving a timesheet will lock it down, preventing any further edits by the approver unless unapproved.<\/li>\n\n\n\n<li>Depending on company setup, timesheets may need to be approved by employees as well as supervisors.\n<ul class=\"wp-block-list\">\n<li>When both employees and supervisors must approve time, the order in which the approvals must occur is based on company setup.<\/li>\n\n\n\n<li>Supervisors System Administrators can often approve for an employee in case of absence. System Administrators will have the authority to approve actions for anyone in the Time and Attendance system. An audit log is kept of each approval.&nbsp;<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Should a supervisor wish to approve many timesheets at once, the \u201c<a href=\"https:\/\/help.insperity.com\/bps\/knowledge-base\/approving-time-with-approvals-user-guide\/\">Approvals<\/a>\u201d User Guide should be referenced.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Employee approval<\/h3>\n\n\n\n<p>An employee can approve their timecard from the Total Hours page by following these steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the <strong>Employee Approve<\/strong> button.<br><em>A confirmation message displays.<\/em><\/li>\n<\/ol>\n\n\n\n<ol start=\"2\" class=\"wp-block-list\">\n<li>Click <strong>OK<\/strong>.<br><em>If any missing punches or outstanding requests exist, an error will display and the time will not be approved for the employees with the outstanding errors. These errors must be resolved prior to completing the approvals.<\/em><\/li>\n<\/ol>\n\n\n\n<p>Once clicked, the button will either be greyed out, or change to <strong>Employee Unapprove <\/strong>depending on company setup and individual security. Should a timesheet need to be unapproved and the security of an individual dictates that they are unable to do so, those above them in the chain of command will often have the authority to complete the unapproval.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Supervisor approval<\/h3>\n\n\n\n<p>To perform the supervisor approval from the Total Hours page, follow the steps below:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the <strong>Supervisor Approve<\/strong> button.<br><em>A confirmation message displays.<\/em><\/li>\n<\/ol>\n\n\n\n<ol start=\"2\" class=\"wp-block-list\">\n<li>Click <strong>OK<\/strong>.<br><strong>Note:<\/strong> All timecards may be approved in masse using the <strong>Approval All<\/strong> button on the bottom left of the screen.<br><br><em>If any missing punches or outstanding requests exist, an error will display and the time will not be approved for the employees with the outstanding errors. These errors must be resolved prior to completing the approvals.<\/em><\/li>\n<\/ol>\n\n\n\n<p>Once clicked, the button will either be greyed out, or change to <strong>Supervisor Unapprove <\/strong>depending on company setup and individual security.
