Client User Configuration and Maintenance in isolved People Cloud

Understanding User Types

You can create and maintain four different types of users in your isolved People Cloud system:

  • Onboarding Prospective Employee
    Onboarding users are not truly employees within the isolved application since they haven’t been hired yet.  They are provisioned through the Initiate New Hire Onboarding process so they can complete pre-employment information.  Onboarding Templates control which information Onboarding Employees are asked to complete.
  • Employee
    An employee is someone who has been hired into isolved.  They can access Employee Self Service Classic View (ESS) or the Adaptive Employee Experience (AEX) where they can see or update their own information.  Self-Service Roles control which screens employees can view and update if you are still using Classic View. Adaptive Setup controls which screens employees can view and update if you are using the modern Adaptive Employee Experience. Updates to employee email addresses for ESS access are made on the General screen.
  • Manager or Supervisor
    Employees report to Managers and Supervisors within the company hierarchy in isolved. Managers and Supervisors access information through Employee Self-Service Classic View (ESS) or the Adaptive Employee Experience (AEX), but they can see their direct reports in addition to their own information. Managers and Supervisors can be maintained on the Employee Jobs screen, or as Organizational Managers or Supervisors associated with a specific organizational unit on the Organization Manager / Supervisor screen. Updates to manager and supervisor email addresses for ESS access are made on the General screen. Managers and Supervisors can be included in new hire onboarding workflows to complete tasks such as provisioning company assets and employer I-9 verification. They can also be included in approval workflows for changes their employees make in ESS or AEX.
  • Client User
    Client users are administrative users with access to the full functionality of the isolved system. Client users can be assigned to Client Groups for inclusion in approval workflows for changes employees, supervisors, and managers make.  Access can be limited for specific client users by assigning specific roles, organizations, pay groups, or report groups.

This guide focuses on configuring and maintaining Client Users.

Initial Client User Configuration

The initial client user will be configured by the Insperity Implementation Team during your implementation process.  You will need at least one client user established in isolved with access to the Create Client Users role to create additional client users.

Creating Additional Client Users

Once the initial client user has gained access to isolved, they can create additional client users.  It is important to understand how to control access to the screens, features, reports, workflow approvals, and employee groups before creating new users.

Access Types

There are two ways to control access to the isolved system:

  1. Controlling what users can see
  2. Controlling who users can see

Controlling What Client Users Can See and Do

Since Client Users are administrative users, access can be granted to all the screens, features, reports, and workflow approvals with the isolved People Cloud application.   However, it is recommended that you limit access to just the specific areas of the application that are relevant to each user’s day-to-day activities for better security.

You can control what client users have access to see and do through the combination of:

  • Client User Role Membership
    Each role provides access to a specific set of menus, screens, and buttons.  Roles are broken down by functional groups to make it easier to assign just the right level of access for each client user in your organization.
  • Report Group Access
    Report groups control access to the report list that a Client User can run from their My Reports menu.  Reports are always limited to just the employees the client user has access to see.
  • Client Group Access
    Client Groups allow Client Users to be involved in approval workflows.  A group can contain just one client user, or multiple client users who are all authorized to approve or reject workflow transactions.
  • Restricted Field Access
    Field access restrictions can mask all or part of sensitive numbers for specific field types.

Client User Role Membership

Roles can grant Full or Read-Only access to menus, screens, and buttons in isolved.  If the same employee is assigned a role that grants full access and another role that grants read-only access to the same feature, full access will be granted. The user will get the most access granted through the combination of their rules. Client Users can only assign access to the roles they are currently assigned.  If the Client User does not have a role, they will not see it on the Roles tab to assign to other users.

Client User Roles in isolved People Cloud

Client user roles follow a defined naming convention:

  • Roles that begin with “Client” generally control access to configuration
  • Roles that begin with “Manage Employee” control access to employee information
  • Roles that begin with “Payroll” control access to payroll processing features
  • Roles that begin with “View” provide read-only access. If you intend for a user to have full access, you do not need to grant the View role for that feature.
